Your Event Planner will work with you to finalize group menus, select and tailor tour programs, develop hotel and event registration forms, book entertainment and child care, handle all audiovisual needs and a myriad of other details. Our job is to guarantee a smooth operation, make you look like a hero, and provide the attendees with an affordable and memorable event. Our services include, but are not limited to, the following:

  • Confirm all hotel needs and fine-tune meeting room set-ups and audiovisual needs.
  • For tours plan the itineraries, charter the buses, hire the step-on guides, book the attractions, and offer the group competitive prices coast to coast.
  • Discounted group meals are pre-negotiated. All menus are confirmed with the Chairman and hotel.
  • We offer assistance with planning memorial services, booking entertainment and child care, banquet seating, photography, VIP protocol, and more.
  • Master hotel and event registration forms, the event program, and a general information sheet are provided for the the group’s newsletter.
  • A hotel master account is established by AFR, and paid by AFR with funds received from the attendees.
  • Before the event all meeting room requirements are reconfirmed with the Chairman. Hotels are then provided with detailed set-up specifications.
  • Final guarantees are made with the hotel and other vendors.  Adjustments are made leading into and during the event.
